FILING SYSTEMS
Element of choice
The choice of a storage solution is a function of variables such as archive dimensions, kind of material to be stored, frequency and kind of consultation to be done, characteristics, available space and other aspects. Estimating every single relevant aspect guides finding the most suitable solution
Solutions
Shelving – is the most traditional solution, being the cheapest and the simplest to operate. Despite the possibility of equipping it with closure panels and other accessories, shelving does not normally guarantee security against access, protection from dust and the best possible exploitation of space. Recommended for remote filing system – depository.
Mobiles – are the most widely used systems for filing by virtue of their ability to exploit the space available. The total closure of the system keeps out the dust and unauthorised visitors, whilst the use of shelving on the bases makes it a very flexible solution for the organisation of archived material, and at not a very high cost. The dimensions of each mobile base and the size of the loads will determine whether the opening system of the bases will be by pushing, hand wheel or electromechanical. Mobiles are highly regarded both as depositories, even large in size, as well as small office archives.
Vertical rotating system – are vertical filing systems. The shelves rotate upwards, exploiting the height and occupying a minimum of floor space. These characteristics and the level of service (materials to the individual) make this the recommended option for office filing systems, and they have achieved a notable success for hanging folders, cards and registers. Similar to the rotating system is the shifting system, but its use is particularly recommended in premises with particularly high ceilings or in multi-floor scenarios. Of all the filing systems, the cost of these machines is the most considerable.
