Abu Dhabi Food Control Authority (ADFCA) was established in 2005 with the primary mission of ensuring food safety for the population of Abu Dhabi. The city is one of the world’s major hubs for food import/export trade: every transaction generates documentation that must be archived, protected and made available quickly and reliably.

As trade flows continued to grow, the volume of documents related to imported and exported goods increased steadily. Traditional archiving systems could no longer keep pace or guarantee the security standards required by an institutional body of this profile.

The archiving challenges

Managing the document archive of an international regulatory authority is not only a matter of space. It is a matter of control, security and operational continuity. Before the ICAM automated archiving system, ADFCA was facing a set of structural challenges that traditional archiving systems weren’t able to address effectively.

  • constantly growing document volumes: the number of records, files and folders to be archived kept increasing and, without an adequate system, the available space was running out quickly
  • information protection: the documents contained sensitive data related to international trade transactions. Unauthorized access was an unacceptable risk for a regulatory authority
  • architectural constraints: the presence of columns in the archive area made it difficult to make full use of the available floor space with traditional solutions
  • fast document access: traditional systems slowed down file retrieval, directly affecting the authority’s operational efficiency

ICAM installed 27 COMPATTA Light mobile shelving bases with mechanical hand-wheel drive at the ADFCA headquarters in Abu Dhabi. The shelving units — 2,250 mm tall, 885 mm deep, ranging from 4,740 to 5,240 mm in length with a maximum load of 5,000 kg per base — were fitted with pull-out drawers for hanging files, making every folder directly accessible to operators. The layout was designed to make full use of the available floor area, working around the existing structural columns. The result is a compact system that concentrates 1,600 linear metres of document capacity in an optimised footprint, with a single working aisle open at any one time — physical protection from unauthorised access and dust built into the structure of the system itself.
