To meet long-term document retention requirements and rationalize large-scale document management, Regione Puglia chose COMPATTA Light, ICAM’s electric mobile shelving system, to reorganize the archives in its new administrative complex. The solution made it possible to concentrate 26,700 linear meters of documents in a compact, organized system accessible only to authorized personnel.

The need to store, organize and make this information accessible requires reliable, secure systems that comply with current document retention regulations.

The logistical challenges

The move to the new administrative complex required a complete redesign of the archiving system. It was not just a matter of relocating documents: document management had to be redesigned within a context of structural constraints and precise regulatory requirements.

The main critical issues were:

  • constant increase in the volume of documents to be archived
  • mandatory long-term retention under public administration regulations
  • the need to protect archived records from unauthorized access
  • difficulty accessing information quickly
  • inefficient use of available space, with structural columns

320 electrically driven COMPATTA Light mobile bases were installed in the new building, designed for archiving binders and paper documents in a compact, high-density space.
The automated archiving system opens only one aisle at a time, optimizing the use of space even in the presence of structural constraints such as columns.
The front panels were color-customized for each department: a design choice that turns the archive from an undifferentiated storage area into a storage system designed for fast retrieval, reducing consultation times and classification errors.
Each mobile base supports loads up to 5,000 kg, for a total capacity of 26,700 linear meters.
